Online forms and progressive data saving
When you use a form available on the website of Skwaadra, some information you provide may be progressively saved, even before the final submission of the form, subject to your prior consent.
1. Purpose of processing
The progressive saving of forms allows Skwaadra to follow up on requests initiated via its website and, in particular, to re-establish contact with a person who started to complete a form without finalizing it.
The data collected in this way is used to understand and track the request, project, or need that you have started to communicate to Skwaadra.
Progressive backup is not used, on this sole basis, to automatically enroll you in a newsletter or send you general marketing communications unrelated to the process you have initiated.
2. Data that may be recorded
Depending on the form used and the information you choose to communicate, the recorded data may include:
- your first and last name;
- the name of your company or organization;
- your position;
- your email address;
- your phone number;
- information related to your project, your request, your needs, or your interests expressed in the form;
- any other information that you voluntarily choose to provide.
Only the information actually entered by the visitor may be recorded.
3. Consent and triggering of the backup
The progressive backup of your personal data is activated only after the expression of your explicit consent, manifested by a positive action, such as checking the box provided for this purpose on the form.
This box is not pre-checked.
With your consent, the information you provide in the form may be transmitted and progressively recorded by Skwaadra, including if you leave the page, interrupt your input, or do not click the button to submit the form definitively.
Simply viewing a page or starting to fill out a form without having given this consent does not trigger the progressive saving of your personal data in our CRM.
When technically applicable, Skwaadra retains the necessary elements to demonstrate the consent given, including the date of consent, the relevant form, and the version of the information presented to the visitor.
4. Integration of data into our CRM
The information collected may be integrated into the customer relationship management (CRM) system used by Skwaadra to ensure the processing and follow-up of your request.
Skwaadra notably uses technological solutions Odoo for certain functions related to its website and the management of its relationship with its prospects and clients.
In this context and depending on the configuration of the services used, Odoo may act as a service provider and subcontractor of personal data on behalf of Skwaadra.
Skwaadra ensures that the service providers it engages provide appropriate guarantees regarding the protection and security of personal data, in accordance with applicable regulations.
The information related to data hosting and, where applicable, data transfers outside the European Economic Area is processed in accordance with the applicable provisions of the General Data Protection Regulation.
5. Contact after the interruption of a form
When you have provided contact details allowing us to reach you, including an email address or a phone number, Skwaadra may use this information to get back in touch with you regarding the request, project, or need that you started to fill out on its website, even if you have not finalized or submitted the form.
This contact aims to follow up on the process you initiated.
Your consent to the progressive saving of the form does not, by itself, constitute consent to receive newsletters, promotional campaigns, or other general marketing communications unrelated to your request.
When your consent is required for such communications, it is subject to a separate request.
6. Retention period for unfinished forms
Personal data from a form that was started but not completed is retained for a maximum period of three (3) months from the last interaction with the form, unless you request their deletion before the expiration of this period or if a business or pre-contractual relationship continues between you and Skwaadra.
Upon the expiration of this period, the data related to the abandoned form is deleted or anonymized when no relationship or process justifies its retention.
If, following your request or contact, a business or pre-contractual relationship is established or continues, the necessary data may be retained in accordance with the applicable durations for this new purpose and as described in this Privacy Policy.
7. Withdrawal of consent
You can withdraw your consent to the progressive retention of your data at any time.
The withdrawal of consent does not affect the lawfulness of the processing carried out on the basis of consent before its withdrawal.
When the processing in question is based exclusively on your consent and no other legal basis justifies the retention of the data, it will be deleted in accordance with the applicable regulations.
8. Your rights
In accordance with the General Data Protection Regulation (GDPR) and applicable legislation, you have, depending on the circumstances, the right to:
- access your personal data;
- rectify inaccurate or incomplete data;
- erase your data;
- limit processing;
- object to processing;
- data portability when legal conditions are met;
- withdraw your consent when processing is based on it.
